Write a proposal that helps a customer decide

Prepared from existing IndiaToolkit operational guidance with AI-assisted editing. No external expert review or customer outcome is claimed.

A useful proposal connects a stated customer need to a bounded piece of work. It gives the buyer enough detail to compare the offer and gives your team a shared understanding of what has been accepted.

Define the requirement

Begin with the customer problem as you understand it. Ask the customer to correct it. Avoid claiming to have solved a problem that has not been investigated. State any assumptions about customer inputs or access.

Name the outputs and responsibilities

Describe outputs in observable terms. For example, specify one process map and one review meeting instead of unlimited operational support. Include the format, review rounds and acceptance criteria. Name excluded tasks.

Check the work and dependencies

Show price, tax treatment, payment timing and dependencies together. A delivery date should say when its clock starts. If customer inputs are late, explain the effect on the timeline. Additional work needs a separately accepted change.

Choose a proportionate next step

An editable proposal pack is appropriate when you already know the scope and need a clear structure. A Proposal Structure Review helps when you need a second operational view. Neither is a substitute for legal advice on a disputed or complex contract.

A practical example

For a website-content project, list the pages and review rounds you will deliver. Record who supplies the product facts, what is excluded and when the customer must respond. A promise of five finished pages is clearer than a promise of more sales.

Your working checklist

Check the buyer problem, included deliverables, excluded work, required inputs, delivery dependencies, payment schedule, acceptance method and revision limit. Compare the final proposal against the quotation so the two documents do not promise different work.

Common question

Should I promise a business result?

Promise the work you can control and describe the intended benefit separately. Avoid guaranteed sales, funding or profit claims.
